Be the Backbone of Our Field Team as an HVAC Installation & Sales Coordinator!

Climate Control is seeking a highly motivated HVAC Installation & Sales Coordinator to play a pivotal role in aligning our field crews, sales team, and customer experience. Position: HVAC Installation & Sales Coordinator
Location: Portland, OR
Shift: Monday - Friday, 8:00 a.m. - 5:00 p.m.
Compensation: $23 - $28/hr (DOE)

Position Summary:
In this full-time role, you’ll serve as the central point of contact for both installation and sales operations. You’ll ensure that HVAC projects are prepped, scheduled, and delivered efficiently — all while supporting customer satisfaction and team collaboration. From managing schedules and permits to facilitating communication between departments, your work helps ensure every install goes off without a hitch.

 

Key Responsibilities

  • Coordinate daily install and sales team schedules to optimize team efficiency and responsiveness.

  • Prepare and manage job packets, sales documentation, and post-sale files with a high degree of accuracy.

  • Order HVAC equipment and materials as needed to keep jobs on track.

  • Schedule installations, subcontractors, permits, and inspections.

  • Communicate proactively with installers, field supervisors, customers, and vendors.

  • Update schedule boards and handle rescheduling or job adjustments with professionalism.

  • Track permits, inspections, warranties, and rebates to ensure compliance and completion.

  • Assist with phone support, customer callbacks, and internal coordination.

  • Attend team meetings and contribute to inventory counts and general office support.

Job Requirements

Qualifications:

  • 2+ years of experience in scheduling, coordination, project support, or administrative roles (HVAC or construction a plus)

  • High school diploma or equivalent (required)

  • Ability to pass a background check and drug screening

  • Proficient with Microsoft Word, Excel, and scheduling software

  • Strong attention to detail and organizational skills

  • Confident communicator, both written and verbal

  • Able to work independently while supporting a team-oriented environment

  • Experience with QuickBooks or basic bookkeeping is a plus

  • Knowledge of HVAC operations or terminology is a strong advantage
