Performance Mechanical Group, one of the premier mechanical HVAC contractors in the Puget Sound area, is looking for a Commercial HVAC/R Service Administrator/Writer to join our team!

Job Title: Commercial HVAC/R Service Administrator/Writer
Location: Kent, WA
Pay: $25-$30/hr (DOE)
Schedule: Monday - Friday, 7:30 AM - 4:30 PM, with overtime as needed.

Commercial HVAC/R Service Administrator/Writer Position Summary:
The Commercial HVAC/R Service Administrator/Writer will coordinate the administrative activities of the service division. This would include contract management, training with dispatchers, and billing.

Essential Job Functions:

  • Service writing and approval: Manage all repair quotes and assure successful, timely delivery. Notify the dispatcher of approved work. Order needed parts for a repair quote. Notify the technician when the parts have been ordered. When delivering quotes to customers, notify them of all open quotes for the same property.
  • Issue truck stock purchase orders and complete associated data entry.
  • Offer complete customer service to both internal and external customers.
  • Invoice service auto-billings.
  • Back up to all service dispatch duties
  • Attend weekly meetings to delegate resources
  • Renew and cancel contracts following processes in place to ensure that all aspects of cancellation are captured.
  • Generate monthly PM work orders. Predict work orders in order to allow the service department to order parts.
  • Report on conditions that are affecting customer satisfaction to the Service Operations Manager.
  • Implement and maintain procedures with specific current needs to integrate both software and personnel of HVAC/R.
  • Confirm profit margins and notify management of low margins.
  • Facilitate project handoffs between service and projects for estimating. This will mean doing the necessary research when forwarding change-out information to engineering and estimating so they have everything they need

Job Requirements

Commercial HVAC/R Service Administrator/Writer Required Knowledge, Skills, and Experience:

  • Requires a high school diploma or equivalent.
  • 1-3 years of experience in the HVAC office.
  • Strong written and verbal communication skills, including active listening.
  • Must have the ability to work positively in a team environment.
  • Ability to prioritize tasks in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Experience with Microsoft Office Suite.
  • Desire for growth into dispatching
  • Dispatch experience is a plus!
